1. Rental Agreement

By hiring equipment from Africamp, you agree to these terms and conditions. The rental agreement begins when you collect or receive the equipment and ends when it is returned and inspected by Africamp.

2. Deposits and Payments

2.1 Security Deposit

A refundable security deposit is required for all equipment rentals. The deposit amount varies by item and will be confirmed at booking.

2.2 Deposit Refund

Deposits are refunded in full when equipment is returned:

  • On time
  • Clean and dry
  • In good working condition
  • With all components present

2.3 Payment Methods

We accept payment via EFT, card, and cash. Full payment is required before collection or delivery of equipment.

2.4 Minimum Hire Period

Minimum hire period is two days. Thereafter, equipment is charged at the per-day rate.

3. Equipment Care and Use

3.1 Proper Use

All equipment must be used for its intended purpose only. Misuse may result in damage charges and loss of deposit.

3.2 Care Requirements

  • Handle all equipment with reasonable care
  • Follow setup and usage instructions provided
  • Protect equipment from unnecessary damage
  • Store equipment properly when not in use

3.3 Weather Considerations

While our equipment is designed for outdoor use, extreme weather conditions may cause damage. Proper setup and reasonable precautions are expected.

4. Damage and Loss

4.1 Normal Wear

Normal wear and tear from regular use is expected and accepted at no charge.

4.2 Damage Beyond Normal Wear

Damage beyond normal wear and tear will be assessed upon return. Charges may include:

  • Broken poles, frames, or structural components
  • Tears or holes in fabric
  • Missing components or accessories
  • Damage from misuse or neglect

4.3 Loss or Theft

The hirer is responsible for the equipment until it is returned to Africamp. Loss or theft must be reported immediately, and replacement costs will apply.

4.4 Assessment Process

All equipment is inspected upon return. Damage charges are deducted from the security deposit. If costs exceed the deposit, the hirer will be invoiced for the balance.

5. Cleaning Requirements

5.1 Return Condition

All equipment must be returned clean, dry, and properly packed. This includes:

  • Removing all dirt, mud, and debris
  • Ensuring tents and fabrics are completely dry
  • Packing items in their provided bags
  • Returning all components and accessories

5.2 Cleaning Charges

Equipment returned excessively dirty or wet may incur cleaning charges deducted from the deposit.

6. Collection and Delivery

6.1 Collection

Equipment can be collected at our premises during operating hours. Collection times must be arranged in advance.

6.2 Delivery

Delivery is available within our service areas. Delivery fees are based on distance and will be confirmed at booking.

6.3 Inspection on Collection

Please inspect all equipment upon collection or delivery. Report any issues immediately before leaving the premises or signing the delivery note.

7. Returns and Late Fees

7.1 Return Times

Equipment must be returned by the agreed return date and time. Late returns may incur additional daily charges.

7.2 Extensions

Rental extensions are subject to availability. Contact us as early as possible to request an extension.

7.3 Late Return Charges

Late returns without prior arrangement will be charged at the daily rate for each additional day.

8. Cancellations and Refunds

8.1 Cancellation Policy

Cancellations made more than 48 hours before collection are eligible for a full refund. Cancellations within 48 hours may incur a cancellation fee.

8.2 Weather Cancellations

We understand that weather can affect camping plans. Contact us to discuss options if severe weather is forecasted.

9. Liability and Insurance

9.1 Equipment Condition

All equipment is inspected and maintained to ensure it is in good working condition. However, Africamp is not liable for:

  • Injury or damage resulting from misuse
  • Equipment failure due to extreme conditions
  • Loss of personal property
  • Indirect or consequential losses

9.2 Hirer's Responsibility

The hirer is responsible for the safe use and storage of equipment during the rental period.

9.3 Insurance

Hirers may wish to arrange their own insurance for the rental period. Africamp does not provide insurance coverage.

10. Reservations and Availability

10.1 Booking Confirmation

Bookings are confirmed upon receipt of payment and deposit. Equipment availability is not guaranteed until booking is confirmed.

10.2 Equipment Substitution

In rare cases where booked equipment becomes unavailable, we will offer comparable alternatives at the same rate.

11. General Terms

11.1 Age Requirement

Hirers must be 18 years or older and provide valid identification.

11.2 Subletting Prohibited

Equipment may not be sublet or loaned to third parties without written permission from Africamp.

11.3 Right to Refuse

Africamp reserves the right to refuse service at our discretion.

11.4 Terms Updates

These terms may be updated from time to time. Current terms apply to all rentals.
